These terms apply whenever you create an account, enter a challenge, or otherwise use UK Virtual Races ("UKVR", "we", "us"), operated by Stuart Flynn, trading as UK Virtual Races. Our business and legal contact details are published in the Privacy Policy. By creating an account or entering a challenge, you're agreeing to these terms.

1. What UKVR is

UKVR is a participation-first virtual event and challenge platform. Depending on the race-specific rules, a target may be completed by running or walking, through one activity or multiple eligible activities. Approved completion unlocks only the rewards included in the selected package. UKVR is a separate site, brand, and business from ukroadraces.co.uk (UKRR) - it is not a UKRR feature, though the two are linked in places.

2. Entering a challenge

• You need a UKVR account to hold an entry. Entries are personal and non-transferable.
• Each race page states its format, target, participation window, available packages and price.
• Founding Run booking and payment are currently provided by BookitZone. Any booking fee charged by BookitZone is additional to the UKVR base price shown.
• An entry remains pending until the required payment or booking confirmation has been verified. Participation access and rewards are not activated by an unverified booking.

3. Completing a challenge

• You may complete eligible activity anywhere, at your own pace, within the published participation rules and window.
• You'll need to submit evidence of your completion (for example, a screenshot from a fitness app, GPS watch, photograph, or similar) through your account. Compulsory GPS is not imposed unless a future race's published rules expressly require it.
• Submissions are reviewed manually. We may ask for clarification or additional evidence if something's unclear, and we reserve the right to decline a submission that doesn't reasonably demonstrate the distance was completed.
• Where multiple activities are permitted, each eligible activity is recorded separately and verified distance contributes to progress. Activity durations are not combined into a purported comparable finishing time.

4. No official rankings

UKVR challenges are completion-based, not competitive. Because routes, terrain, and conditions can't be standardised or independently verified the way they can on a marshalled course, UKVR does not publish runner result tables, finishing positions, rankings or leaderboards.

5. Rewards and medal delivery

Package contents depend on the entry selected. Achievement Only includes the permanent personal achievement; Digital Entry adds a downloadable digital certificate; Digital + Medal also includes physical-medal fulfilment. Digital certificates and achievements are not posted.

Physical medals are delivered to UK addresses only. Standard UK postage is included in the physical-medal package price. Please allow up to 30 days for medal delivery following verification of the completed event or challenge. Dispatch may be delayed where stock is unavailable or the supplied address is incomplete; UKVR will contact the runner if this occurs.

Medal designs are specific to the relevant race or target and may differ from concept artwork shown on the site, which is illustrative rather than a guarantee of exact appearance (production medals are die-struck/enamelled and can't reproduce digital effects like glow or gradients).

6. Refunds and cancellation

In addition to your statutory rights, UKVR offers a voluntary refund where you contact admin@ukvirtualraces.co.uk within seven days of booking and participation has not begun, no evidence has been submitted, no digital reward has been supplied and no physical medal has been dispatched. BookitZone fees may be governed by BookitZone's checkout terms and should be checked before payment.

This voluntary policy does not replace, shorten or restrict any statutory cancellation, refund or consumer rights. Where the law gives a longer cancellation period or another remedy, UKVR will apply it. Beginning participation does not automatically remove statutory rights; any permitted deduction or loss of a cancellation right will apply only where the legal requirements for early service or digital-content supply have been met.

7. Your own responsibility and risk

UKVR challenges are unsupervised - there are no marshals, no closed roads, and no on-course support, because you're choosing your own route and participating unsupervised at a time of your choosing. This means:

• You're responsible for your own safety, route choice, and fitness to take part.
• You're responsible for your own property (including any devices or equipment used) during your run.
• We strongly recommend you hold your own personal accident/injury insurance if you don't already have appropriate cover, and that you don't take part in any physical activity that a medical professional has advised against.
• To the fullest extent permitted by law, UKVR is not liable for injury, loss, theft, or any other harm arising from your participation, except where that harm is caused by our negligence and the law doesn't allow us to exclude liability for it (for example, we can never exclude liability for death or personal injury caused by our own negligence).

8. If we need to cancel or change a challenge

We'll always try to give reasonable notice if a challenge is cancelled, postponed, or materially changed. If we cancel a challenge outright before you've completed it, you'll be offered a full refund of your entry fee or the option to transfer to another challenge.

9. Acceptable use

You agree not to:

• Submit evidence that misrepresents activity or distance you haven't actually completed
• Use another person's account or identity to enter a challenge
• Attempt to interfere with or disrupt the site or its underlying systems

We reserve the right to decline entries, void submissions, or close accounts where these terms are breached.

11. Changes to these terms

We may update these terms from time to time - for example, as new challenge formats or features are introduced. The "last updated" date at the top will always reflect the current version.

12. Governing law

These terms are governed by the laws of England and Wales, and any disputes will be subject to the exclusive jurisdiction of the courts of England and Wales.
